CONTRACTOR BOOKING GUIDE

Need people for
the next shift?

Send the details that make a staffing decision possible. Short-notice support depends on suitable personnel, the location and arrangements being agreed.

01 / DEFINE THE REQUIREMENT

Start with the work,
not only the job title.

“Two labourers tomorrow” is a starting point. Add the actual duties, required experience, site postcode, headcount and expected duration. State any card or training requirements.

For specialist personnel, describe the system, equipment, scope and responsibilities. Someone with general construction experience is not automatically suitable for every specialist task.

02 / EXPLAIN THE SHIFT

Make the first morning clear.

  • Site address and the entrance to use
  • Arrival time, induction arrangements and shift hours
  • The person to report to and a site contact number
  • PPE, tools, equipment and access arrangements

If site access, transport or the shift pattern is unusual, say so before availability is discussed. For UK-wide placements, clarify whether travel or accommodation can be considered.

03 / DISCUSS SUITABILITY

Ask what can
be confirmed.

Ask about experience relevant to the duties and what card, training or other role information is available for review. Explain any evidence your contractor requires before a person can start.

Agree who supervises the work, who controls the specification and who accepts or signs off any specialist output. Personnel supply does not automatically include those responsibilities.

04 / AGREE THE BOOKING

Be clear about
the commercial details.

Confirm the rate basis, shift length, overtime, proposed duration and any agreed travel, tools or equipment arrangements. Discuss timesheet approval and the applicable placement terms.

An enquiry is not a confirmed booking. Wait for the proposed person, start arrangements and terms to be agreed before relying on attendance.

05 / PLAN FOR CHANGES

Keep one reporting
contact in the loop.

Agree how to report an access issue, changed duties, attendance concern or extension. Explain a revised requirement before expecting a placement to cover different work.

If the proposed start is not practical, discuss the available options. We do not guarantee a replacement or a next-day start without confirming availability.

Common short-notice questions.

Will you guarantee people tomorrow?

No. Send the requirement as early as possible. Suitable experience, location, shift details and availability must be discussed before a proposed start is confirmed.

Why can’t one day rate cover every enquiry?

Different roles, experience requirements, hours, locations and placement arrangements affect the rate. Confirm the complete brief and commercial terms rather than comparing headline rates alone.

What if I need more than one trade?

List each role, its duties, headcount and dates separately. Tell us whether the trades need to start together or in phases.

Can I send a longer work package or multi-site requirement?

Yes. Outline the locations and phases, then agree details for each proposed placement. The same personnel or rate should not be assumed across every site.

LET’S GET TO WORK
